Cancel Bills

The Cancel Bills routine allows the user to cancel Bills by the batch. All Bills within a batch are displayed, and then individual Bills can be selected for cancellation. When canceling Bills with requisitions, the requisition will be cancelled as well.

In eQuinox, individual Bills are broken down into at least one Sub-Bill; Sub-Bills are the splitting of disbursements, fees, and taxes between the Bill Entities as set up at the matter level.

When accessed from the eQuinox main menu, the screen shown below will be displayed.

Field Definition

Batch No - The batch number and description for the current batch of Bills. The batch number is automatically assigned when a group of Bills are posted to the General Ledger. This number cannot be edited or updated by the user. To view a specific batch of Bills, the user may execute a query based on the Batch Number.

Batch Timekeeper - The unique identifier and name of the Timekeeper associated with the current batch of Bills. This information is for display purposes only, and cannot be edited by the user.

The section of the screen seen below displays general details for all Bills in the current batch. It is within this section that the user can select individual Bills for cancellation.

Mark - To mark the current Bill for cancellation, the user must 'check' this field. Once all desired Bills for the current batch have been selected, the user must click the Save button to complete the cancellation process. To select all Bills in the current Batch, the user may simply click the "green check mark" button, seen below.

Bill ID - The unique identifier for the current Bill, as assigned when the Bill was entered into the system. This value cannot be edited or updated by the user.

Bill No - The Bill Number for the current Bill, as appears on the Bill itself. This value cannot be edited or updated by the user.

Bill Date - The date of the current Bill, as appears on the Bill itself. This value cannot be edited or updated by the user.

Client - The unique identifier of the Client associated with the current Bill. The corresponding Client Name is displayed below.

Matter - The unique identifier of the Matter associated with the current Bill. The corresponding Matter Name is displayed below.

Bill Entity - The unique identifier of the Bill Entity associated with the current Bill. In E-Quinox, Bill Entities are those responsible for payment of a Bill, and may or may not be the Client themselves. The corresponding Bill Entity Name is displayed below.

TMKP - The unique identifier of the Billing Timekeeper associated with the current Bill. The corresponding Billing Timekeeper Name is displayed below.

Hours - The number of hours Billed on the current Bill.

Fee Amt - The dollar amount of fees charged to the Client for the number of hours Billed on the current Bill.

Disb Amt - The dollar amount charged to the Client for disbursements on the current Bill.

Tax Fees, Tax Disb - The dollar amount of taxes applied to the Fees and Disbursements on the current Bill.

Total Billing - The total dollar amount charged to the Client on the current Bill (i.e. Fees + Disbursements + Taxes).

Individual Bill Details

The section of the screen shown below shows details for the current Bill (i.e. the information displayed in this section is specific to the Bill currently selected in the previous section).

Hold, Hold Reason - If the current Bill has been placed on the hold, the corresponding Hold information will be displayed in these fields.

Interest Rate - The interest rate that may be potentially applied to the current Bill (i.e. in the case of late payment).

Bill Text - The text that is to appear on the Bill itself, as it was entered when the Bill was entered into the system.

Client Name - The name of the Client associated with the current Bill. The corresponding Client ID is displayed above.

Matter Name - The name of the Matter associated with the current Bill. The corresponding Matter ID is displayed above.

Bill Entity Name - The name of the Bill Entity associated with the current Bill. In eQuinox, Bill Entities are those responsible for payment of a Bill, and may or may not be the Client themselves. The corresponding Bill Entity ID is displayed above.

Billing Timekeeper - The name of the Billing Timekeeper associated with the current Bill. The corresponding Billing Timekeeper ID is displayed above.

Sub-Bill Details

The Sub-Bill Details section of the screen displays all Sub-Bills associated with the Bill currently selected in the section seen above. In eQuinox, individual Bills are broken down into at least one Sub-Bill; Sub-Bills are the splitting of disbursements, fees, and taxes between the Bill Entities as set up at the matter level.

Sub-Bill ID - The unique identifier of the current Sub-Bill, used to identify and track the information in the system. This value cannot be edited or updated by the user.

Sub-Bill No - The Sub-Bill number for the current Sub-Bill. This value cannot be edited or updated by the user.

Client - The unique identifier of the Client associated with the current Sub-Bill. The corresponding Client Name is displayed below.

Matter - The unique identifier of the Matter associated with the current Sub-Bill. The corresponding Matter Name is displayed below.

Bill Entity - The unique identifier of the Bill Entity associated with the current Sub-Bill. In eQuinox, Bill Entities are those responsible for payment of a Bill, and may or may not be the Client themselves. The corresponding Bill Entity Name is displayed below.

Style - The Bill style selected for the current Sub-Bill.

Hours - The number of hours Billed on the current Sub-Bill.

Fees - The dollar amount of fees charged to the Client for the number of hours Billed on the current Sub-Bill.

Disb - The dollar amount charged to the Client for disbursements on the current Sub-Bill.

Tax Fees, Tax Disb - The dollar amount of taxes applied to the Fees and Disbursements on the current Sub-Bill.

Total Billing - The total dollar amount charged to the Client on the current Sub-Bill (i.e. Fees + Disbursements + Taxes).

Bill Entity Name - The name of the Bill Entity associated with the current Sub-Bill. In eQuinox, Bill Entities are those responsible for payment of a Bill, and may or may not be the Client themselves. The corresponding Bill Entity ID is displayed above.

Once the user has completed selecting Bills for cancellation, they must either click the Save button on the menu bar or press F10 on their keyboard to commit the information to the GL. Remember, when canceling Bills with requisitions, the requisition will be cancelled as well.
